The Manager Executive Secretariat serves as a pivotal link between the executive leadership and internal/external stakeholders, ensuring the seamless coordination of administrative, communication, and governance functions at the highest level of the organization. The incumbent acts as the primary point of contact for the executive leadership, managing schedules, correspondence, meetings, and strategic communications. The Manager Executive Secretariat contributes directly to the efficiency and effectiveness of the executive function, enabling leadership to focus on strategic priorities.
The Manager Executive Secretariat is expected to perform, but not be limited to, the following key duties:
Executive Support: Providing comprehensive administrative and secretarial support to senior executives, including calendar management, travel arrangements, and meeting coordination.
Communication Management: Drafting, reviewing, and managing high-level correspondence, reports, presentations, and internal/external communications on behalf of the executive office.
Meeting & Event Coordination: Organizing and coordinating board meetings, executive committee meetings, and other high-level gatherings, including agenda preparation, minute-taking, and follow-up on action items.
Documentation & Record-Keeping: Maintaining organized and confidential records of executive decisions, policies, and strategic documents.
Stakeholder Liaison: Acting as the primary interface between the executive office and internal departments, external partners, regulatory bodies, and other stakeholders.
Project Coordination: Assisting in the execution of special projects and strategic initiatives as directed by the executive leadership.
Office Management: Overseeing the smooth functioning of the executive secretariat, ensuring efficient workflows and resource utilization.

The Manager Facilities is a senior leadership role within the organization's operational framework, responsible for the strategic and operational management of all facilities, infrastructure, and administrative services across multiple sites and regions. This role ensures that all physical assets, building systems, and support services are maintained to the highest standards of safety, functionality, and efficiency, enabling the organization's educational and administrative operations to run seamlessly.
The incumbent oversees the full spectrum of facilities management, including hard and soft services, preventive and corrective maintenance, asset lifecycle management, and vendor coordination. This role demands strong leadership capabilities, technical knowledge, financial acumen, and the ability to manage multi-site operations effectively. The Manager Facilities plays a critical role in optimizing operational costs, ensuring regulatory compliance, and enhancing the overall physical environment for students, staff, and stakeholders.
The Manager Facilities is expected to perform, but not be limited to, the following key duties:
Operations & Maintenance (Hard & Soft Services):
Overseeing all building systems, including HVAC, electrical, plumbing, fire safety, elevators, and security systems.
Managing soft services such as housekeeping, landscaping, pest control, waste management, and security services.
Preventive & Corrective Maintenance:
Planning and supervising both Preventive Planned Maintenance (PPM) schedules and corrective/reactive maintenance for all building systems and equipment.
Ensuring minimal downtime and rapid response to maintenance issues.
Asset & Inventory Lifecycle Management:
Managing the complete lifecycle of organizational assets, including procurement, deployment, maintenance, and disposal.
Maintaining accurate inventory records and ensuring optimal utilization of resources.
Vendor & Contract Management:
Negotiating and managing contracts with service providers, suppliers, and contractors.
Ensuring service level agreements (SLAs) are met and cost optimization is achieved.
Health, Safety & Compliance:
Ensuring all facilities comply with health, safety, fire, and environmental regulations.
Conducting regular inspections and risk assessments.
Budgeting & Financial Management:
Preparing and managing facilities budgets, monitoring expenditures, and implementing cost-control measures.
Team Leadership & Supervision:
Leading, mentoring, and supervising a team of facilities staff, supervisors, and technicians across multiple locations.
Project Management:
Overseeing renovation, construction, and fit-out projects as required.
