The word Communication means the act or process of giving or exchanging of information, signals, or messages as by talk (verbal), gestures, or writing (non-verbal). Technically speaking, in the process of communication, we make opinions, feelings, information etc. known or understood by others through speech, writing or bodily movements. A good and sound Communication process is very important for an organization to work well. In other words we can say that communication is the “Lifeline” of every organization. Communication in an organization ca be of two types:-
- Internal Communication
- External Communication
i. Internal Communication
Internal communication involves the communication that exists within an organization and can take many forms. Key to the success of an organization is communication from within. Internal Communications has various different titles in different organisations. In certain areas it is labelled as Employee Communications, Engagement Communications and other various slants on the same topic. The key theme which runs through all of these titles is simply communications (in whatever format) amongst, and between a firms employees. There is Formal communcation i.e. planned communication, memo, letter, report, e-mail & faxes that follow the company’s chain of command. Then there is Informal communication i.e. casual communication among employees, e-mail, face-to-face conversations, phone calls, discussions etc. There are directional flows of communication within the organization like Downward Flow (Top to bottom), Upward Flow (Bottom to top) and Horizontal Flow (between departments in organization).
ii. External Communication
Communication that takes place outside the organization is called external communication. It is the communication with external environment of the organization. Although external communication is formal, informal contacts with outsiders are important for learning customer’s needs. Plenty of high-level managers recognize the value of keeping in touch with “the real world by creating opportunities (like seminars, fairs, stalls, exhibitions) to talk with and get feedback from customers and frontline companies. Then there is Informal communication i.e. casual communication among customers, suppliers, investors, e-mail, face-to-face conversations, phone calls, discussions, exhibitions, seminars etc..
Communication is the name of process by which information is exchanged from sender to receiver either verbally or non-verbally. The purpose of communication management is the accessibility of information flow from top management to bottom. It will be effective only when officials are communicating information effectively to all the employees. Thus all parties should be communicate and transfer the necessary information meaningfully and resourcefully. The development of the organization depends on its communication process. Since each and every business process communication is inevitable. It is an exchange of information and knowledge with the internal groups as well as stakeholders who have direct relationship with the organization, which will enhance the growth of the organization. Communication may be considered a functional part of an organizational system. The structure of an organization is determined in part by the network of channels or paths along which information must flow between members or sub-units. Communication is only successful when both the sender and the receiver understand the same information as a result of the communication.
PROCESS OF COMMUNICATION
The communication process consists of sender/encoder, message, channel/medium, decoder/receiver, feedback and the context. All of these components are very important for a successful communication process. Even one is disturbed or damaged then the whole process will be crashed or unsuccessful.
BARRIERS OF COMMUNICATION
There are some barriers in communication, which can block or disturb the process of communication. The factors that affect communication are called barriers. Therefore, for a successful communication one should understand these barriers. These are as follows:
a. Semantic Barriers (Convention of meaning)
b. Physical Barrier
c. Psychological barriers
- Emotional barriers
- Perceptual barriers
d. Barriers involving values attitudes etc
ANALYSIS
Communication process is the name of six components working together namely sender/encoder, message, channel/medium, decoder/receiver, feedback and the context. There is a standard communication process working in the company as in most of the organization in the world. Like, there is internal communication and external communication including formal and informal forms of communication. For internal communication company issues memo, phone calls, meetings, etc. For external communication company issues letters, reports, e-mails, faxes, fairs, exhibitions, seminars, etc. Today, organizations using multidirectional flow of communication i.e. Downward, Upward and Horizontal simultaneously.
The process of communication in an organization runs smoothly untill the components of the communication process are disturbed. Normally disturbance occurs when:-
- the people who are not or less educated does not understand the information completely.
- the channel or medium of the communication is weak therefore normally information reaches late or incomplete to the receivers. So the desired results are either late or not reached. (late delivery of letters, mails etc.)
- sometimes message is not clear like fax message or a photocopy is very dim that nobody can understand it completely so it delays the result for that information.
- the choice of message language or matter is not appropriate. Information can be favorable or unfavorable; the choice of words, language or context, expression can make it more favorable or more unfavorable!!!
- sometimes the presentation mode of the message is not appropriate (physical barrier) like a message from the person in the company, which is not very popular among the employees.
Effective communication is closely related to the success of the organization. Through which company’s reputation, survival and its success are communicating to the public as well as its own employees and stakeholders. Communication is closely linked to business objectives and strategies. It is essential if organizations are to inform and influence external stakeholders including their customers, and to harness the efforts of all their members towards the successful accomplishment of organizational objectives.
CONCLUSION
In conclusion, communications represents the corporation's voice, its reputation, integrity and the images it projects of itself on a global and regional stage populated by its various audiences and stakeholders. All the components should be effective and efficient to make the process of communication “a successful one”. An organization should try to steam line its communication process to waive off barriers to make it more smooth and successful.
